ASSOCIATION POLICIES

Privacy Policy

How PWA handles personal information through this website and the services described here.

01

Controller and contact

PWA – Associação Portuguesa de Uísque (Portuguese Whisky Association) is a non-profit, non-governmental organisation founded in 2022. Its Portuguese tax identification number is 516 917 641. Its registered office is Mercado Municipal de Alpiarça, 1º Dº, Largo José António Simões 11, 2090-036 Alpiarça, Portugal. PWA is responsible for personal data it receives through this website and its association activities. Contact: info@portuguesewhisky.org.

02

This staging website

This is a static preview. It has no active Member Area accounts, membership database, analytics, third-party embedded content or server-side form submission. The contact form opens the visitor’s email application after submission. The membership form keeps a draft in the current browser session and prepares an email only after the visitor chooses to continue. PWA receives the information only if the visitor sends that email. A draft can include business, representative and identity-document details; do not enter information that is not needed.

The website stores the selected language in local browser storage and temporarily keeps a membership-form draft in session storage. These values are not sent to PWA by the website. The visitor can clear them through browser storage controls or close the session to clear the draft.

03

Hosting and technical records

The website is hosted by VodaHost. VodaHost states that its servers are located in the United States. The hosting provider may process technical connection records such as IP address, date and time, requested page, browser information and referral details to deliver and secure the website. PWA’s basis for necessary site-security processing is its legitimate interest in preventing fraud and unauthorised access.

Because the hosting servers are in the United States, technical data may be transferred outside the European Economic Area. PWA has not yet verified the applicable transfer mechanism and contractual safeguards for this hosting arrangement. This draft must not be treated as the final transfer notice until that verification is complete. A copy of any applicable safeguards may be requested from PWA once confirmed.

04

Information sent to PWA

If you choose to send a message or membership application, PWA may process your name, contact details, organisation, representatives and information needed to respond or assess the request. Identity details are requested only where necessary to verify identity or authority to represent an organisation. Required fields are marked. Without necessary information, PWA may be unable to respond or assess the request. Private representative details are not published. Optional directory publication or promotional communications require separate permission. Applications are decided by people, not solely by automated means.

05

Lawful bases

For requests from individuals, PWA relies on steps requested before entering into a contract or on performance of the resulting relationship. For contacts and representatives of organisations, PWA relies on its legitimate interest in responding, verifying representation and managing institutional relationships. Website security relies on PWA’s legitimate interest in protecting the service. Optional uses rely on consent, which may be withdrawn.

06

Retention

Contact or advisory enquiries that do not lead to an engagement are retained for up to 24 months after closure. Rejected or withdrawn membership applications are retained for up to 24 months after the decision or withdrawal. Data needed for membership or services is retained during that relationship and for up to five years after it ends. Records subject to legal retention requirements are kept for the applicable period; information needed for a dispute is kept until resolution and expiry of relevant time limits. Optional published personal data is removed when permission is withdrawn. PWA’s approved schedule limits security logs and backups under its control to 90 days, except where needed to investigate an incident. The hosting provider’s own logging and retention terms must be confirmed separately before publication of the final transfer notice.

07

Recipients and rights

Access to information held by PWA is limited to authorised people and service providers acting for PWA, such as hosting, maintenance, email, security and document-management providers. PWA may disclose information to public authorities where legally required. PWA does not sell personal data. You may request access, correction, erasure, restriction or portability, object to processing and withdraw consent, subject to applicable conditions. Contact info@portuguesewhisky.org. PWA normally responds within one month; any legally permitted extension will be explained within that period. PWA may request proportionate confirmation of identity. You may complain to Portugal’s Comissão Nacional de Proteção de Dados at www.cnpd.pt.
